Privacy Policy

Short version: We only collect what we need to schedule your demo. Your data is stored in Canada, never sold, and never used to train AI models. You can ask us to delete it at any time.
Who we are
MyVoiceOps is a Canadian company providing AI voice and messaging services to small businesses in the Greater Toronto Area and across Canada. This privacy policy covers our marketing website (myvoiceops.com) — what we collect when you visit, contact us, or submit a demo request.
It does not cover data processed on behalf of our business clients through the MyVoiceOps product (their end customers' call data). That is governed by our client Data Processing Agreement.
What we collect and why
When you submit the "Book a demo" form, we collect:
- Name and business name — to address you correctly and understand your context
- Work email — to reach you to schedule the demo
- Phone number — optional, for scheduling follow-up
- Industry — to tailor the demo to your type of business
- Your message — any additional context you choose to share
We do not collect payment information, government IDs, or health information through this website. We do not use cookies for advertising or tracking. Standard server logs (IP address, browser type, page visited) are retained for security purposes and are not linked to your identity.
Legal basis and consent
By submitting the demo request form, you consent to us contacting you to schedule a demonstration of MyVoiceOps. This is the sole purpose for which we collect your information. We do not add you to marketing lists without a separate opt-in, in compliance with Canada's Anti-Spam Legislation (CASL).
Who we share it with
We share your submission with the following service providers, solely to deliver it to our team:
- Resend (email delivery) — your form data is transmitted to deliver the email notification to our team. Resend processes data in the United States under standard contractual protections.
- Google Cloud / Firebase — our infrastructure provider. Form processing runs in the northamerica-northeast2 (Montréal) region. Firebase is covered by Google's Data Processing Addendum.
We do not sell, rent, or trade your personal information. We do not share it with advertisers or data brokers.
Where your data is stored
Form submissions are processed and stored on Google Cloud infrastructure in Montréal, Canada. Email delivery passes through Resend's US-based servers under contractual data protection agreements. We do not maintain separate databases of demo request data beyond what arrives in our email inbox.
How long we keep it
Demo request emails are retained in our inbox for up to 24 months from the date of submission, or until you ask us to delete them — whichever comes first. If you become a client, your contact information moves into our client records under a separate retention policy you'll receive at onboarding.
Your rights under PIPEDA
Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) gives you the right to:
- Access — ask what personal information we hold about you
- Correction — ask us to correct inaccurate information
- Deletion — ask us to delete your information from our records
- Withdrawal of consent — withdraw your consent to us contacting you at any time
To exercise any of these rights, email us at privacy@myvoiceops.com. We will respond within 30 days.
If you are not satisfied with our response, you may file a complaint with the Office of the Privacy Commissioner of Canada.
Ontario health sector (PHIPA)
If your business operates in Ontario's health sector (dental, medical, wellness, or similar), your use of MyVoiceOps as a product involves patient health information regulated under the Personal Health Information Protection Act (PHIPA). In those cases, a Data Processing Agreement is required before going live. Contact us at hello@myvoiceops.com to request one.
Cookies and similar technologies
This site uses a small number of third-party technologies that may set cookies or make network requests to external servers:
- Google Fonts — loads typefaces from Google's CDN (
fonts.googleapis.com). Google receives your IP address and browser information as part of the request. No advertising data is collected. - Google reCAPTCHA v3 — used on the demo request form to distinguish human visitors from bots. Google may set cookies and collect device signals to generate a risk score. No personal data is shared with us from this process.
We do not use cookies for advertising, retargeting, or cross-site tracking. We do not use analytics cookies (no Google Analytics, no Meta Pixel, no similar tools).
You can decline non-essential cookies using the banner shown on your first visit. If you decline, Google reCAPTCHA will not load — the demo form still works, though without bot-protection scoring. Your preference is stored in your browser's localStorage and respected on all future visits.
Quebec residents — Law 25
Québec's Act respecting the protection of personal information in the private sector (Law 25 / Bill 64) gives Québec residents enhanced rights over their personal information and requires us to obtain consent before deploying non-essential technologies that collect or transmit personal data.
In compliance with Law 25:
- We ask for your consent before activating Google reCAPTCHA and Google Fonts on your first visit.
- You can withdraw consent at any time by clearing your browser's local storage for myvoiceops.com, which will re-show the consent banner on your next visit.
- You have the right to access, correct, and delete any personal information we hold about you. See Your rights under PIPEDA above — those same rights apply to Québec residents, with the additional protections of Law 25.
- We do not use your information for automated profiling or decision-making.
To exercise your Law 25 rights or submit a complaint, you may also contact the Commission d'accès à l'information du Québec (CAI).
California and US residents — CCPA / CPRA
If you are a California resident, the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) give you rights over your personal information. The following applies to our marketing website:
- We do not sell your personal information. We do not sell, rent, or trade your data to third parties for money or other valuable consideration.
- We do not share your personal information for cross-context behavioural advertising.
- Categories collected: identifiers (name, email, phone), commercial information (business name, industry), and internet activity (server logs).
- Purpose: solely to schedule a product demo.
California residents may request to know what personal information we have collected, request deletion, and opt out of any future sale or sharing (though none currently occurs). To submit a request, email privacy@myvoiceops.com. We will respond within 45 days as required by law.
Residents of other US states with applicable privacy laws (Virginia, Colorado, Connecticut, Texas, etc.) may exercise similar rights by contacting us at the same address.
Security
Form submissions are encrypted in transit using TLS 1.3. Our infrastructure uses AES-256 encryption at rest. Access to form data is limited to MyVoiceOps team members who need it to schedule your demo. We do not use your data to train AI models.
Changes to this policy
If we make material changes to this policy, we will update the "Last updated" date at the top. We will not retroactively reduce your rights without notice.
